# Manage Badge Designs and Badge Rules

Create multiple Badge Designs for an event and use Badge Rules to automatically select the correct design for each attendee.

Badge Rules currently match attendees by **Ticket Type**. Rules run from top to bottom, and the first matching rule determines which Badge Design is printed. A required **Fallback** rule covers all attendees who do not match an earlier rule.

## What Has Changed

Previously, an event used one name badge design for every attendee. The **Name Badge** tab now opens a list where you can create and manage multiple Badge Designs. The separate **Badge Rules** tab determines which design each attendee receives.

Existing events keep their previously configured name badge as a Badge Design. Badge Rules, rather than a special default design, determine which design is used.

## Prerequisites

* Enable **In-person Check-in** for the event.
* Use EventX Check-in App version **6.2.5 or later**.
* Set up each printer that will be used onsite.

## View and Manage Badge Designs

1. Open the left sidebar and select **In-person Check-in**.
2. Select the **Name Badge** tab.
3. Review the Badge Designs available for the event.

The Name Badge list is the starting point for managing Badge Designs. There is no limit to the number of Badge Designs that an event can have.

* Select **Create Badge Design** to start a new design.
* Select **Edit** to update the Badge Name, Printer Type, Badge Size, or layout.
* Select **Delete** to remove a Badge Design.
* A Badge Design selected by the Fallback rule cannot be deleted. Assign the Fallback rule to another Badge Design first.
* Deleting another Badge Design also removes any Ticket Type rules that use that design.

## Create a Badge Design

1. From the Name Badge list, select **Create Badge Design**.
2. Enter a **Badge Name** with no more than 80 characters.
3. Configure the **Printer Type**, **Badge Size**, and badge layout.
4. Select **Preview** to review the design.
5. Select **Save**. The saved design will appear in the Name Badge list.

New Badge Designs start with the standard Brother badge template. You can change the Printer Type and edit the template before saving. If you try to leave with unsaved changes, a confirmation message appears. If you choose to leave, the Badge Design is not created.

## Configure Badge Rules

1. Open **In-person Check-in** and select the **Badge Rules** tab.
2. Select **Add Rule**.
3. Select a **Ticket Type**.
4. Select the **Badge Design** to print for attendees with that Ticket Type.
5. Add more rules as needed. Each Ticket Type can be used in one rule.
6. Drag rules into the required priority order. Priority 1 is evaluated first.
7. Select a Badge Design for the required **Fallback** rule.
8. Select **Save**.

The Fallback rule is always last and cannot be removed or reordered. It applies to every attendee who does not match a Ticket Type rule.

### Example

| Priority | Ticket Type         | Badge Design            |
| -------- | ------------------- | ----------------------- |
| 1        | VIP Ticket          | VIP Badge               |
| 2        | Speaker Pass        | Speaker Badge           |
| Fallback | All other attendees | General Admission Badge |

An attendee with the VIP Ticket receives the VIP Badge. An attendee with the Speaker Pass receives the Speaker Badge. Every other attendee receives the General Admission Badge.

## Check an Attendee's Selected Badge

Open the attendee's details in the People List or the Check-in App. The selected Badge Name is shown in the attendee profile.

In the portal, select **Badge Rules** beside the selected badge to open the event's Badge Rules page.

## Print with the Check-in App

The Check-in App resolves the attendee's Badge Design from the saved rules before printing. The app can connect to one printer at a time, and the connected printer must match the Printer Type configured for the selected Badge Design.

If the printer types do not match, printing is blocked and the app shows:

> This attendee badge type is EPSON. Current printer is ZEBRA. Cannot print.

For bulk printing, attendees whose Badge Design does not match the connected printer are skipped and listed as failed. Other compatible attendees continue printing.

To print Badge Designs for different printer types, connect the matching printer and print the corresponding attendees separately.

## Custom QR Code

To display your own QR code on a Badge Design:

1. Import the custom QR code data. See [Custom QR Code for Check-in](/knowledge-base/check-in/check-in-setup/custom-qr-code-for-check-in.md).
2. Edit the Badge Design.
3. Under **Add Image**, select **Custom QR Code**.
4. Select **Confirm** and save the Badge Design.

## Frequently Asked Questions

### Can I remove the Fallback rule?

No. Every event with In-person Check-in enabled must have a Fallback rule so that every attendee can be assigned a Badge Design.

### Can I delete the Badge Design used by Fallback?

No. Update the Fallback rule to use another Badge Design, save the rules, and then delete the previous design.

### What happens after I rename a Ticket Type?

Badge Rules continue to use the same Ticket Type and display its latest name.

### What happens after I delete a Ticket Type?

The rule for that Ticket Type is removed. Attendees who no longer match another rule receive the Badge Design selected by Fallback.

### Can one Ticket Type use more than one rule?

No. Each Ticket Type can be selected once. Use rule priority to decide which Ticket Type rule is evaluated first.

### Can Badge Rules match attendee fields or tags?

No. Badge Rules currently match Ticket Type only.
