# Exhibitor Guide

**Objective:** Activate your exhibitor role, configure booth settings, manage representatives, and track attendee activity.

**Prerequisites:**

* You must be assigned as an exhibitor or booth representative by the event organizer.
* An invitation email from the organizer is required.

### How to Activate Role and Join as Booth Exhibitor / Representative

When assigned as an exhibitor or booth representative, activate your role to edit your booth and/or network with attendees.

> **Note:** Booth representatives cannot edit the booth page.

**Step 1:** Open the invitation email and click **Activate Role**.

**Step 2:** You will be directed to the **Log In** page.

**Step 3:** Choose a sign-in method:

* **Forgot Password**: Enter your email, click **Send Verification Code**, enter the code from your email, set a new password, then click **Reset Password**. Log in with your new password.

* **Email Me A Login Link**: Enter your email and click **Send Login Link**. A link (valid for **15 minutes**) is sent to your email. Click **Log in Now** to proceed.

**Step 4:** Complete the registration form prepared by the organizer, then click **Register**.

**Step 5:** After logging in, find your event under **Events** > **Exhibiting**.

* Click **Edit Design** to edit your booth.
* Click **View Booth** to view your booth and visit the event site on the live day.

**Step 1:** Log in to [portal.eventx.io](http://portal.eventx.io/) using your invited email.

* **Booth Intro** — Max **100 characters**. Only available for **Featured Booth** thumbnail.
* **Booth Category** (optional) — Assign multiple categories.

> **Note:** Click **SAVE** after making changes.

### How to Edit Virtual Booth Design

**Step 1:** Log in to [portal.eventx.io](http://portal.eventx.io/) using your invited email.

**Step 2:** Under **Exhibiting**, find your booth and click **Edit Design**.

### How to Add a Form to Your Booth

Collect attendee information by enabling the form submission function.

> **Reminders:**
>
> * Organizers and exhibitors can add questions to the form.
> * Only **1 form** per booth.
> * Attendees can submit the form **multiple times**.
> * The **Submit Form** button is hidden when no fields are added.
> * No limit on the number of questions.
> * To export form reports, email <help@eventx.io>.

**Step 1:** Go to the booth edit page and click the **Form Submission** tab.

**Step 2:** Click **Add Field** to choose a custom field type.

Supported field types:

* **Short answer** — Max 100 characters.
* **Long answer** — Max 300 characters.
* **Single / Multiple choice** — Up to **60 answers**.
* **Dropdown** — Single selection, unlimited answers.
* **File upload** — All formats except HTML, CSS, JavaScript. Max 50 MB.

**Step 3:** Type your question. Toggle **Required** for mandatory questions.

**Step 4:** Reorder fields by drag and drop, or click **Remove** to delete.

### How to Add Booth Exhibitor / Representative

Assign additional exhibitors or booth representatives to help manage your booth.

> **Note:** Booth representatives cannot edit the booth page.

**Step 1:** On the **Edit Booth** page, go to **Assign Access Control** > **Assign Access**.

**Step 2:** In the **Add Access Control** sidebar:

1. Enter the representative's email.
2. Optionally select a country code and enter a mobile number for SMS (requires SMS package).
3. Check **I want to send SMS invitation** (if applicable).
4. Select the role: **Booth Exhibitor** or **Booth Representative**.
5. Click **Send Invitation**.

The details appear immediately on the control page. An invitation email is sent to the invitee.

> **Note:** The invited user must log in using the invited email address.

### How to Delete an Assigned Booth Exhibitor / Representative

**Step 1:** On the booth edit page, under **Exhibitor & Booth representative control**, find the person to delete and click the **delete icon**.

### How to Access Exhibitor Dashboard

The exhibitor dashboard shows attendee activities within your booth and lets you interact via chat or video call (Virtual Event & Expo users only).

> **Important Reminders:**
>
> * Visible only on the event live day (or earlier if the organizer allows).
> * Shows the first **100 activities** only.
> * Activity records are removed after **72 hours**.
> * Dashboard data cannot be exported.
> * Requires the organizer to enable the **Exhibitor Dashboard** feature.

Add and manage products under your booth (requires the organizer to enable product showcase).

Drag items to the desired order.

### How to Preview Booth

> **Remarks:**

> * Clickable banner actions cannot be previewed if the event has not been published.
> * Products are not shown in the preview if the event has not been published.

**Step 1:** Log in to [portal.eventx.io](http://portal.eventx.io/) using your invited exhibitor email.

### Q: What is the difference between a booth exhibitor and a booth representative?

**A:** Booth exhibitors have full access to edit booth content and manage booth settings, while booth representatives can only network with attendees and chat but cannot edit the booth page.

### Q: How many products can I add to my exhibitor booth?

**A:** There is no limit on the number of products. Each product requires at least 1 featured image or video, with a maximum of 5 total.

### Q: Can I preview my booth before the event goes live?

**A:** Yes, click "Preview Booth" on the booth design portal. Note that clickable banner actions and products may not show if the event has not been published.
