Lead Capture

Overview

Lead capture enables exhibitors to easily collect attendee contact information and engagement data digitally during an event.

We understand the more values we can help the organiser create for their exhibitors, the better experience exhibitors will have at your event.

Here are some key features and capabilities to look for in an EventX lead capture web app:

  • Mobile responsiveness - Forms should adapt and look great on all devices.

  • Cross-platform compatibility - Web apps work across all devices and operating systems using a browser.

  • Easier access and onboarding - Users don't have to download anything to start using a web app. Signing up is quicker.

  • Lightweight - No need to download large files or sacrifice device storage for web apps.

Supported Browsers & Operating Systems When Using Native Camera

The Mobile Web QR Code utilises Mobile Browser API, these are the Mobile Web Browser versions which provides the best scanning experience.

  1. Samsung Internet 13+

  2. Android Browser 133+

  3. Chrome for Android 133+

Note: There will be a pop-up message as shown below if a non-recommended browser is used. Supported Android browsers can scan distorted and skewed QR code. Reference: https://caniuse.com/?search=barcode As iOS does not natively support the Mobile Browser Barcode API, we don't recommend using iOS devices.

iOS devices are not able to scan distorted and skewed QR codes well. If you are using Infrared Handheld Scanner for the Lead Capture.

Suggested Models

We recommend using an Android phone as it is more convenient to handle and carry around. In contrast, we do not recommend using an Android tablet, since it is rather bulky and less practical to hold and operate. We recommend these Android Phone

Enabling Lead Capture

Invite Exhibitors as Lead Capture Users

From the left-hand navigation, select Lead Capture, you can now invite the exhibitors to join the event and activate the Lead Capture license on the portal by clicking + Add Lead Capture User.

Fill in the information including Name, Organization and Email address. Once done, click Add.

The invited exhibitors will receive an invitation email asking for the Lead Capture web app activation.

Enable an Existing Attendee as Lead Capture User

In order to enable the Lead Capture feature for an attendee, the attendee needs to be under Registered or Attended status.

Import the attendee into the attendee list. Then, click on the Edit icon.

Toggle on Enable to Lead Capture User. Then, click Update once done. A lead capture login link email will then be sent to the participant.

Using Lead Capture

1. Activate Lead Capture on Mobile

Exhibitors are invited to use their mobile to activate the Lead Capture web app by clicking the link, or scanning the QR code. The link is unique for each exhibitor and does not support concurrent logins.

Note: A Lead Capture web app can only log in per device concurrently. Multiple device logins per account is not supported.

2. Scan Attendee QR Code

Tap the Scan Attendee button and enable the camera to start scanning the attendee QR codes. Select QR Code to scan attendee QR Code.

3. Scan Business Card with OCR

Exhibitors can also take photos of the business cards they collected at the event (front and back images) and the contact information will be extracted automatically. This helps easily capture and input information of the leads when scanning business cards at the event. To scan business cards, select Name Card.

Note: To export the list containing scanned namecards and lead details, please click on Export List and input the organizer's email address.

4. Add Note

Lead capture users can add a note for each lead. The note will be shown in the exported CSV file.

5. Add Tag

Lead capture users can apply a tag to each lead. The exhibitor can reuse the tag on other leads.

6. View Scanned Contact List

Exhibitors can view the contact details of the QR codes.

7. Export Contact List

Click the Export List button, enter the recipient email who will need to receive the report, the scanned contact list with the business card images will be sent to the email address accordingly.

Other Methods to Capture Leads

Other than using the mobile phone camera, lead capture users can also upload an image or file of the QR Code.

Steps

  1. To upload an image or file of the attendee QR Code, click on the Upload Image button beneath the QR Code scanner.

  2. Select the type of upload that you would like to perform.

Supported file formats

  1. JPG, PNG, BMP, GIF, WEBP, TIFF, HEIC

If the lead capture user is unable to find their invitation email, organizers can obtain the login link and QR Code directly from the portal. Click on the QR Code icon next to the lead capture user in the portal, and a QR Code and login link will be displayed that can be shared with the lead capture user.

By scanning the QR Code or clicking on the login link, the user will be directed to the event site to use the Lead Capture feature.

Note: If the event has not started or has ended, the user will be directed to the event landing page.

Managing Leads for Organisers

  1. If the organizer would like to export all leads captured by the added lead capture users, simply click on the Export List button. By clicking it, a CSV file containing all the captured leads will be downloaded.

  2. If organizers would like to obtain the business cards scanned by the lead capture user, the lead capture user will need to export the list from their mobile devices by clicking Export List and input the organizer's email address.

  3. The organizer will receive an email that contains a download link to view the captured leads. The downloaded folder will contain the images of the scanned namecards and a CSV file to store the captured leads data.

Real-time Feedback Messages

There will also be real-time feedback pop-up messages while using the Lead Capture feature. The pop-ups will appear when:

  • Mobile camera is not enabled on the browser.

  • Mobile devices are not connected to a network.

  • User scans an invalid QR Code.

Camera Permission of Mobile

In order to allow the EventX WebApp to work smoothly, please ensure that your camera permission is setup correctly.

If the camera is not working correctly, please further check if the mobile browser has correctly setup the camera permission.

On Android Chrome When using Samsung mobile devices on Chrome, make sure the camera permission is toggled on:

  1. Tap on the lock icon on Chrome browser address bar

  1. Go to Permissions

  2. Make sure Camera is toggled ON
